About This Article
This article discusses two methods of exporting tasks from the PM Central Tasks list to Microsoft Project:
Related Information
- For information about importing tasks from your PM Central Tasks list to Microsoft Project, read KB.12756 - How to import Microsoft Project tasks into a SharePoint Tasks list using the Microsoft Project Add-In for PM Central 3.0.

A. Exporting from the Late View, Cost View, Tracking View or Scheduling View to Microsoft Project
Each project site's Tasks tab has several list views. You can export the Late View, Cost View, Tracking View or Scheduling View to Microsoft Project 2007 or Project 2010 using the Bamboo MS Office Integration Web Part.

To export one of the list views:
-
Click the tab of the list view that you want to export, for example: Tracking View. At the bottom of the page, click Export to MS Project.

-
The source fields are automatically populated from the tasks list. The first time you export tasks, you need to manually map the source fields to the destination fields. After you map fields once, the mapping settings will be saved for future exports.

Use the table below to map your source fields. Only the fields listed in the table can be exported.

Notes:
- Make sure to map the SharePoint Parent Task and Predecessor Task fields to the MS Project OutlineParent and PredecessorTask fields, as show in the table above. These fields define the task outline.
- Multiple predecessors cannot be exported with the Bamboo MS Office Project Integration Web Part. If you have a task configured with multiple predecessors, only the first predecessor will be exported to Microsoft Project. If you need to export tasks with multiple predecessors, consider exporting with the Connect to Microsoft Project option instead (see Section D below).
-
Click Next to review the data. Use the Back button to make changes. Click Export.

-
The data is created as an xml file. Click Save to save the file to your local drive.

-
In the Save As screen, you can give the file a more specific name.

-
Use Microsoft Project to open the xml file. Make sure you select xml as the file format.

-
In the Import Wizard window, choose how you want to import the data, and then click Finish. We recommend that you always import data As a new project.

-
When the schedule is imported successfully, save the project schedule as an .mpp file.

C. Exporting from the Bamboo MS Office Project Integration Web Part
If the Cost View, Scheduling View and Tracking View do not include all the fields that you want to export to MS Project, you can add additional fields by exporting from the Bamboo MS Office Project Integration Web Part page.
-
Go to the page that contains the list view you want to export, such as the project site's Tasks tab. Click the list view that you want to export, such as the Tracking View. Edit the page by clicking Edit Page in the Page ribbon (SharePoint 2010), or by clicking Edit Page in the Site Actions menu (SharePoint 2007).
-
Click the option to add a Web Part to the page. Under the Bamboo Solutions category, select the Bamboo MS Office Project Integration Web Part. Exit edit mode.
-
After the Web Part is installed on the page, enter the URL to the site where the SharePoint Tasks list is located. Click on the green arrow. Select the list from the SharePoint Task List field. Click OK.

Review the section above on how to map fields from SharePoint to MS Project.
-
Follow steps 2-8 from Section A above to export the data to MS Project.

D. Exporting from the Project Tasks List using Connect to Microsoft Project
Important Notes:
- This export method will establish a connection between SharePoint and Microsoft Project, allowing you to synchronize task updates from Microsoft Project 2010 back to SharePoint. See Synchronizing Tasks between MS Project and SharePoint for more details.
- The Connect to Microsoft Project feature requires the Bamboo Microsoft Project Add-in for Microsoft Project 2010.
- Connect to Microsoft Project is supported only for destination clients running Windows 7. Windows Vista clients are not supported.
Before exporting tasks, you must first verify Internet Explorer is correctly configured. In IE, go to Tools > Internet options. In the Security tab, click Custom level and change the setting for the Initialize and script ActiveX controls not marked as safe for scripting to Prompt. Click OK and OK again to save your changes.

-
Click Connect to Microsoft Project to establish a connection. There may be multiple options available: In the project site, go to Central Actions > Lists and click the Tasks list. In the PMC List Action ribbon, click Connect to Microsoft Project.

On the Tasks tab in the project site, click All Tasks. Click Connect to Microsoft Project above the Task Master Web Part.

-
In the Import Wizard window, choose to import the items As a new project, and then click Finish. Do not choose the Append or Merge data options. They are not supported for task synchronization.

-
When the schedule is imported successfully, save the project schedule as an .mpp file.
After exporting the SharePoint Tasks list to Microsoft Project 2010, you can synchronize changes made in Microsoft Project to the SharePoint Tasks list. See Synchronizing Tasks between MS Project and SharePoint in the next section for details.

E. Synchronizing Tasks between Microsoft Project 2010 and SharePoint 2010
If you exported your SharePoint 2010 Tasks list to Microsoft Project 2010 using the Connect to Microsoft Project button (see Section D above), you can make changes in Microsoft Project and synchronize the changes back to the SharePoint Tasks list. For instructions, see KB.12770 - How to synchronize tasks from Microsoft Project 2010 to the PM Central Tasks list in PM Central 3.0 for SharePoint 2010.
