About the Bamboo Update Dashboard List Timer Job
SharePoint Project Portfolio Dashboard uses the Bamboo Update Dashboard List timer job to update changes made to the items in the Portfolio Dashboard List instead of using event receivers. This timer job runs every 5 minutes in SharePoint 2007 and every 30 minutes in SharePoint 2010.
After an item in the Portfolio Dashboard List is added, deleted or edited, wait 5 minutes (in SharePoint 2007) or 30 minutes (in SharePoint 2010) for the timer job to update the changes in the list and the portfolio site's Gantt View of Active Projects Widget on the Schedules tab. (This Widget uses the Portfolio Dashboard List as its data source.)
After creating a new project site, refresh the data on the portfolio site's Schedules tab to create and map the new project as an item in the Portfolio Dashboard List. Then wait 5 minutes (in SharePoint 2007) or 30 minutes (in SharePoint 2010) for the timer job to update the Portfolio Dashboard List with the new item.
Use Cases
The following use cases demonstrate how the Bamboo Update Dashboard List timer job works:
Use Case #1: Adding A New Project Site Or Upgrading to PM Central R2.1
After adding a new project site, or after upgrading to PM Central R2.1, the portfolio site only displays the original mapping, for example, only the portfolio site is mapped. (Select Schedules > Refresh data on Gantt View to view the mapping.)

Click Refresh to view the mapping for all of the projects. Wait 5 minutes (in SharePoint 2007) or 30 minutes (in SharePoint 2010) for the timer job to run. The timer job adds the new project site to the Portfolio Dashboard List. The Gantt View of Active Projects Widget is then updated using the Portfolio Dashboard List as its data source.



Use Case #2: Changing Items In The Source List
The Project Health List is used as the source to map the columns to the Portfolio Dashboard List. (To view the mapping, select Schedules > Refresh data on Gantt View. Then choose to view or edit the mapping for the desired site.)

In this case, the mapping already exists. A project task is modified, and as a result, the project's Actual Start Date changes to 2/18/2011 from 2/17/2011. After 5 minutes (in SharePoint 2007) or 30 minutes (in SharePoint 2010) and after the timer job runs, the Gantt View of Active Projects Widget reflects the change:


Troubleshooting: The Portfolio Dashboard List And Gantt View of Active Projects Widget Are Not Updating
For example, after installing or upgrading to PM Central R2.1 or after creating a new project site: Navigate to the portfolio site's Schedules tab and click Refresh data on Gantt View to verify that the mapping for all of the sites exists. If the mapping is not there, click Refresh. The new site mapping should be displayed. Wait 5 minutes (in SharePoint 2007) or 30 minutes (in SharePoint 2010) for the Bamboo Update Dashboard List timer job to run, then click Return to Schedules tab page to see if the data is displayed in the Gantt View of Active Projects Widget.
If the items are not displayed in the Portfolio Dashboard List, and if the Gantt View of Active Projects Widget is not displaying data, then do the following:

For SharePoint 2007:
1) Navigate to Central Administration > Operations > Global Configuration > Timer Job Status. You must have the appropriate rights to log in.
2) Verify that the Bamboo Update Dashboard List timer job has a status of Succeeded. If the timer job failed, reactivate it. (See the section below for more information.)

3) Return to the portfolio site and verify that the new project has been created in the Portfolio Dashboard List.

4) In the portfolio site's Schedules tab, click CTRL + F5 to refresh the browser. The Gantt View of Active Projects Widget should display the project data. If the data is not displayed, restart the Windows SharePoint Services Timer service.
- From the SharePoint server, select Start > Administrative Tools > Services.
- Right-click on the Windows SharePoint Services Timer service and select Restart.

5) In the portfolio site's Schedules tab, wait 5 minutes for the Bamboo Update Dashboard List timer job to update the data to the Portfolio Dashboard List and the Gantt View of Active Projects Widget. Press CTRL + F5 to refresh the browser. The project data should be displayed.


For SharePoint 2010:
1) Navigate to Central Administration > Monitoring > Check job status. You must have the appropriate rights to log in.
2) Verify that the Bamboo Update Dashboard List timer job has a status of Succeeded. If the timer job failed, reactivate it. (See the section below for more information.)

3) Return to the portfolio site and verify that the new project has been created in the Portfolio Dashboard List.

4) In the portfolio site's Schedules tab, click CTRL + F5 to refresh the browser. The Gantt View of Active Projects Widget should display the project data. If the data is not displayed, restart the SharePoint 2010 Timer service.
- From the SharePoint server, select Start > Administrative Tools > Services.
- Right-click on the SharePoint 2010 Timer service and select Restart.

5) In the portfolio site's Schedules tab, wait 30 minutes for the Bamboo Update Dashboard List timer job to update the data to the Portfolio Dashboard List and the Gantt View of Active Projects Widget. Press CTRL + F5 to refresh the browser. The project data should be displayed.


Reactivating The Timer Job
If the timer job is not running, reactivate it following the steps below:
For SharePoint 2007
1) Navigate to Central Administration > Application Management > Manage Web Application Features.
2) Select the desired Web application.
3) Next to Bamboo Update Dashboard List Timer Job, click Deactivate, then click Activate.

4) Return to Central Administration > Operations > Global Configuration > Timer Job Status to verify that the timer job's status is Succeeded.
For SharePoint 2010
1) Navigate to Central Administration > Application Management > Manage Web Application Features.
2) Select the desired Web application.
3) Next to Bamboo Update Dashboard List Timer Job, click Deactivate, then click Activate. Click OK.

4) Return to Central Administration > Monitoring > Check job status to verify that the timer job's status is Succeeded.
Modifying The Bamboo Update Dashboard List Timer Job
For SharePoint 2010 Only: If you have both SharePoint Project Portfolio Dashboard R1.8.39 and PM Central R2.1 installed, you can change how often the timer job runs in Central Administration. The default schedule is 30 minutes.
1) Navigate to Central Administration > Monitoring > Timer Jobs > Review job definitions. You must have the appropriate rights to access Central Administration.

2) Select the Bamboo Update Dashboard List timer job.

3) Enter how often you want the timer job to run. The default run time is 30 minutes. Click OK.
